Sounds familiar? The ad side says chats came in. Your team says two or three are "hot". And in between there's a fog.
All I want to know is: what happened to each enquiry? You aren't asking for analytics. You just want to know nothing slipped through.
Why isn't a lead count an answer?
The count is the start of the story. It says a customer tapped your ad and said "Hi, details please".
It doesn't say if anyone replied. Or if the reply was useful. Or if the buyer asked for a site visit and nobody picked it up.
So you're stuck in a familiar bind. You pay for the chats, but you can't see the journey. The leads came in, but where did they go?
What should you ask of each enquiry?
Five questions, for each chat:
- Did it get a reply? A useful one, not just "Hi, please share your number".
- What does the customer want? In one line: a family trip, a skin appointment, a 3BHK visit, a course seat.
- What stage is it at? More on stages below.
- Who owns the next step? One named person, not "the team".
- When is that step due? A day and a rough time.
If any of these is blank, that enquiry is at risk. Not lost yet. But at risk.
Which stages should you sort chats into?
Keep it small. Use words your team already says. For example:
- New: just came in, no real conversation yet
- Talking: questions going back and forth
- Hot: ready for a call, visit, quote or appointment
- Waiting on the team: the customer is waiting on you
- Gone quiet, follow-up set: the customer stopped replying, and a next nudge is planned
- Booked: the call, visit or appointment is fixed
- Lost, with a reason: "the budget was different", "the dates didn’t work", "went with someone nearer"
This is a way to think, not software. Keep "lost" honest. A lost enquiry should carry a reason. It should not just disappear.
What leaks does this view show up?
Once each chat has a stage, the gaps become visible. Look for these patterns:
- No first useful reply. The customer asked, and nothing came back that helped.
- Same questions, no next step. The chat keeps answering FAQs and doesn't move forward. See FAQ loop vs next step.
- Hot, but nobody assigned. Or a handover that nobody picked up.
- Quiet, with no follow-up set. The buyer went silent and the chat just sat there. See how to restart dormant WhatsApp leads and why generic follow-ups fail.
- "Lost" with no reason. You can't fix what nobody wrote down.
Each of these is an enquiry your ad already paid for.
What should an owner see each day?
A short message, not a dashboard to study:
- what came in
- which ones are hot
- which are waiting on the team
- which went quiet
- the first thing to do today
That's it. For the full format, see the daily WhatsApp revenue report. If the qualifying step is weak, the "hot" list will be weak too, so it's worth reading how to qualify a WhatsApp enquiry before sales.
What do you do with that message?
Two or three actions. No more.
- Call the hot ones. Today, before anything else.
- Unblock what's waiting on the team. A quote nobody sent, a slot nobody confirmed.
- Fix the one repeated cause. A missing answer, a slow handover, or a weak follow-up. Just one per day.
The point is action, not more reporting. Reading a report doesn’t make a sale. Making the call does.
Example owner view (Example chat: illustrative)
Two ways an owner sees the same day. All counts are example values in brackets, not real figures.
The fog
Team: Sir, lots of leads came in today.
Owner: How many are hot?
Team: Maybe two or three. We’ll look at the rest.
The clear view
New today: [example value]
Hot (ready for a call or visit): [example value], incl. [Customer A], who asked for a [visit / appointment] on [day]
Waiting on the team: [example value], incl. a quote for [Customer B] that nobody has sent
Gone quiet: [example value]
Lost, with reason: [example value], "[reason]"
First thing tomorrow morning: call [Customer A] and confirm [day]. Summary is in the chat.
The first one sounds busy. The second one tells you where the money is. No real business, person, amount or date is shown here. For journeys by trade, see the pages for travel, clinics and real estate.
Your check for tonight
Pick ten of today's enquiries. For each one, try to answer:
- [ ] Was it replied to?
- [ ] What stage is it at?
- [ ] Who owns the next step?
- [ ] When is it due?
Count how many you can't answer. That gap, in your own business, is where the money goes.

If you want help on that one number
The Wise Parrot is an intelligence layer on WhatsApp for businesses running ads. It replies and qualifies on your one WhatsApp number, using the facts your business has approved. It keeps the context of each chat and hands over with a summary, so your team starts at the right place. It gives each chat a stage: New, Talking, Hot, Booked, or Lost / Nurture. When a chat needs a person, it alerts you, the owner. And an owner card on WhatsApp shows you the hot leads, the waiting chats, the quiet ones and the next action. It supports your team and doesn't replace it; closing the sale is still your team's job, and nobody can promise sales. See how it works, or contact the team to see it on your own enquiries. Any cost question goes there too.
Think of it as a digital business friend that keeps the story of each enquiry in one place.
Quick answers
How do I track what happened to my WhatsApp enquiries?
Ask five things of each chat: was it replied to, what does the customer want, what stage is it at, who owns the next step, and when it's due. Sort chats into a few plain stages and record a reason for each lost one.
How do I know which WhatsApp chats are stuck?
Look for chats with no useful first reply, chats answering the same questions with no next step, hot leads with nobody assigned, quiet chats with no follow-up set, and "lost" chats with no reason.
What should a daily WhatsApp lead report show an owner?
What came in, which are hot, which are waiting on the team, which went quiet, and the first thing to do today. Short enough to read on a phone.
Do I need a CRM to see this?
Not to start. What matters is that each enquiry has a stage, a named owner and a due step. Any system works if your team keeps those three filled in. A system nobody updates shows you nothing.
