Project and retainer enquiries land on WhatsApp. The chat sits there until someone is free. The question is not “how do we run ads.” It is: how do you know which chats are worth a human call, without turning the first reply into a generic bot script.
The job on that number is the agency’s own sales chat. A new project or a retainer enquiry. Not a support ticket. Not someone else’s clients.
What “fit” means before a human picks up
Fit is not a scorecard you invent for this article. It is three plain checks against work the agency already does:
- What they want — the kind of work (for example a site rebuild, a campaign retainer, a product launch), in their words.
- Rough timing — when they need to start or decide.
- Match — whether that work is something this agency actually sells.
If those three are unclear, a call will burn time guessing. If they are clear and the match is no, a polite clear no is better than a polite maybe. If they are clear and the match is yes, a person should call with the brief already in hand.
What a useful first reply does
A useful first reply is not a brochure and not a price before the brief. It does three things:
- Answers the question they asked, using only facts, prices, and policies the agency has already approved. Do not invent a rate card line or a promise.
- Asks the one thing that decides fit — usually what they need and when — not a ten-question form.
- Names the next step — a call with a person, or a clear no if it is outside the work you do.
Example shape, not a script to paste blindly: “We do retainer design for product teams. If you reply with what you need live by and the kind of work (site, app, campaign), we will confirm whether it fits and book a short call — or tell you straight if it does not.” Swap in your real approved services.
What goes wrong on WhatsApp
Three common stalls, with no volumes attached:
- A brochure dump — a long capability deck before you know what they need.
- A price before the brief — a number with no scope, which either scares them off or locks a wrong expectation.
- A follow-up that ignores what they already said — “Just checking in” after they already named the project and the date.
Each of those feels like a bot even when a human typed it. The fix is the same: their question, one fit question, one next step.
What the person on the call should already have
Before anyone dials, the human should open three things, not a raw thread:
- Intent — what they asked for.
- What was asked and answered — the fit checks already done.
- Next action — the call itself, or the open point that still needs a person.
That is the handover. The person still sells, scopes, and decides. The chat only made the call worth having.
What this is not
This does not replace the founder or the sales person. It does not guarantee a signed retainer. A clear fit check only stops the wrong chats from eating the right calls, and stops the right chats from waiting with no next step.
The Wise Parrot can sit on that one number as the sales conversation layer: reply, qualify against what the business has approved, keep context, follow up from what was already said, and hand over a clear next action. It does not invent leads, prices, or policies. The owner should be able to see which chats are stuck.

Quick answers
How should an agency reply to a new WhatsApp project enquiry?
Answer the question they asked using only approved facts, ask the one thing that decides fit (usually what they need and when), and name the next step.
Should an agency share a price on WhatsApp before the brief?
A number with no scope either scares the person off or locks a wrong expectation. Get the brief first; price comes with a person.
What should the person making the call already know?
The intent, what was asked and answered in the chat, and the next action. That is the handover.
