How fast should you reply to a lead: The Wise Parrot guide to WhatsApp response time
Short answerHow fast should you reply to a lead? For a WhatsApp enquiry from an ad, aim to send the first reply within the first minute, while the customer is still in the chat, and make that reply answer their question, not just say hello. A real reply in the first few minutes beats a perfect reply an hour later, and night enquiries need the same speed as daytime ones.

You paid for the ad, the customer tapped it, and a WhatsApp message landed. The question every owner asks next: how fast should you reply to a lead? The short version is within the first minute, while the customer is still holding the phone.

How fast should you reply to a lead on WhatsApp, in one line: send a real first reply within 60 seconds for ad enquiries, answer the question they asked, and give night leads the same speed as day leads.

This guide is for owners of travel agencies, real estate firms, clinics, D2C brands and other businesses in India that get enquiries from Click-to-WhatsApp ads.

Why reply speed matters more on WhatsApp

A Click-to-WhatsApp ad lead is not a form filled in last week. The customer tapped your ad a few seconds ago and is looking at the chat right now. Three things happen if nobody answers:

  • They close WhatsApp. The phone goes back in the pocket and your chat is buried under family groups.
  • They ask someone else. People comparing holidays, flats or clinics message more than one business. The first useful answer sets the frame for the rest.
  • The ad money is half wasted. You paid for the tap. A reply two hours later is talking to a colder person.

How fast should you reply to a lead: the real numbers

The Wise Parrot publishes response data from its own client WhatsApp records, with names withheld and the maths shown. A "first reply within 60 seconds" there means the customer's first message in the period got an answer, from the bot or the business's team, within 60 seconds (30 days to 26 Oct 2026):

Industry Customers who wrote in First reply within 60 seconds Messages between 9 PM and 9 AM
Travel 7,308 across 10 accounts 89% 27%
Real estate 110 across 4 accounts 85% 27%
Healthcare 148, one account 92% 34%
D2C brands 1,345 across 3 accounts 73% 28%

Two lessons sit in that table. First, replying within a minute is possible at real volume, not just on a quiet day. Second, a quarter to a third of messages arrive when an office is closed. If your plan only covers 10 AM to 7 PM, those leads wait until morning.

These are conversation numbers, not bookings or sales. Speed opens the door; the content of the reply decides what happens next.

What a good first reply looks like

Speed with an empty reply does not help. "Hi, we will get back to you" stops the clock but leaves the customer with nothing. A strong first reply does three things:

  1. Answers the question they asked, using facts your business has approved (destinations, project location, timings, what is included).
  2. Asks one useful question that moves toward the next step: dates, number of people, budget range, preferred visit day.
  3. Sounds like your business, in the language the customer used, Hindi, English or a mix.

Example chat (illustrative)

Customer (from a Goa ad): Goa package for 2 in January? Business: Hello, thanks for writing. Yes, we have Goa packages for couples in January, with North Goa and South Goa stay options. Which dates are you looking at, and how many nights? Customer: 10 to 14 Jan, 4 nights. Business: Great. Do you prefer a beach-side stay or a quieter place? I will share two options that fit.

What worked: the first reply came while the customer was still in the chat, it answered the question, and it asked for dates straight away, so the next message already moved the lead forward.

How to hit a one-minute reply without hiring more people

  • Write down 10 approved answers. The questions your leads ask again and again (what is included, location, timings, how to book) should have ready, checked answers.
  • Decide who covers nights and Sundays. A person on rotation, an approved auto-reply that answers the basic question, or a managed service. Pick one on purpose.
  • Use one shared number with more than one person able to reply. The WhatsApp Business API allows a team to work the same number.
  • Keep money talk and promises for a person. The first reply can be quick and factual; negotiation and commitments are a human's job.
  • Measure it. Each week, check the time from the customer's first message to your first reply, split by day and night.

After the first reply: speed still counts

The first minute decides whether the conversation starts. The next hours decide whether it ends in a sale. When a lead goes quiet, a well-timed message helps, and after 24 hours of silence WhatsApp only allows an approved template. Our guide on how to reply to Click-to-WhatsApp ad leads covers the full reply, and WhatsApp lead follow-up rhythm covers quiet leads. For night enquiries, see missed WhatsApp enquiries at night.

Your 15-minute check for this week

  1. Pick 20 ad chats from last week. How long did each wait for its first reply?
  2. How many of those first replies answered the actual question?
  3. How many chats arrived between 9 PM and 9 AM, and who answered them?
  4. Which question do leads ask that your team answers differently each time? Write one approved answer for it.
  5. Where do chats stop after the first reply? Fix that stage first.

Quick answers

How fast should you reply to a lead?

For a WhatsApp lead from a Click-to-WhatsApp ad, aim for the first reply within the first minute, while the customer still has the chat open. The first reply should answer their question and ask one useful thing, so the conversation keeps moving.

What is a good lead response time on WhatsApp?

Within 60 seconds for the first reply is a strong target for ad leads. In The Wise Parrot's live case studies (30 days to 26 Oct 2026), 89% of travel enquiries, 85% of real-estate enquiries and 92% of patient enquiries got a first reply within 60 seconds, from the bot or the business's team.

Does a fast reply matter if the lead comes at night?

Yes. In The Wise Parrot's travel case study, 27% of customer messages came between 9 PM and 9 AM. A lead who writes at 11 PM is just as interested as one who writes at 11 AM, so plan who or what gives the first reply at night.

Is a quick 'Hi, we will get back to you' reply enough?

No. A holding message stops the clock but does not move the lead. Reply to the actual question with facts your business has approved, then ask one question that leads to the next step, such as dates, budget range or a visit slot.
